PRIVACY NOTICE

1. Introduction

Travent, LLC (“Travent,” “we,” “our,” or “us”) is committed to protecting the privacy and security of personal information. This Privacy Notice explains how we collect, use, disclose, and protect personal information obtained through our website (travent.global) and in the course of our business operations, including our activities as an authorized sales agent for event and hospitality service providers.

This Notice is designed to comply with applicable data protection laws, including: Mexico’s Federal Law on the Protection of Personal Data Held by Private Parties (LFPDPPP) and its Regulations; the California Consumer Privacy Act (CCPA) of the United States; applicable privacy regulations of the State of Texas; the European Union’s General Data Protection Regulation (EU GDPR – Regulation (EU) 2016/679), including the Standard Contractual Clauses applicable to international transfers; and the United Kingdom’s General Data Protection Regulation (UK GDPR) as incorporated into British law by the Data Protection Act 2018.

Affiliated Entities

Travent, LLC operates in partnership with TAME Events, S. de R.L. de C.V., a Mexican entity based in Mexico City, which conducts business under the Travent brand in Mexico and Latin America. Both entities are under common ownership and are committed to the same privacy standards, data protection obligations, and security practices described in this Notice.

When TAME Events, S. de R.L. de C.V. processes personal data, it will do so as a jointly responsible entity subject to equivalent data protection obligations under the LFPDPPP and any other applicable legislation. References to “Travent,” “we,” “our,” or “us” in this Notice include both Travent, LLC and TAME Events, S. de R.L. de C.V., unless otherwise specified.

2. Information We Collect

2.1 Information You Provide Directly

When you contact us, request a quote, or hire our services, we may collect:

  • Full name and job title
  • Company Name and Industry
  • Email address and phone number
  • Event and Hospitality Preferences
  • Billing and Payment Information (processed by secure third-party providers)
  • Any other information you voluntarily provide

2.2 Automatically Collected Information

When you visit our website, we may collect:

  • IP Address and Browser Type
  • Pages Visited, Time Spent on Site, and Browsing Patterns
  • Device and Operating System Information
  • Cookies and Similar Tracking Technologies (see Section 7)

2.3 Information on Authorized Business Partners

As part of the provision of our services, we may receive information from our authorized business partners. This information is subject to strict restrictions arising from our contractual obligations:

  • The information provided by event and hospitality vendors (“Partner Data”) is used exclusively for the marketing and delivery of the specific services for which it was shared.
  • We do not retain, copy, export, or incorporate Member Data into our own databases, CRM systems, or separate marketing lists, beyond what is strictly necessary to fulfill our commitment.
  • We do not use Member Data to promote products or services that directly compete with those of the relevant member.
  • We do not contact or solicit individuals using Member Data outside the scope of the specific purpose for which it was provided.
  • Upon termination of a contract with a partner, we immediately cease using their data and certify the deletion of any copies in our possession, as required.

3. How We Use Your Information

We use personal information for the following purposes:

  • Respond to inquiries and provide requested quotes or proposals
  • Provide event planning, hospitality, and travel experience services
  • Keep us informed about relevant services, updates, and opportunities
  • Maintain business relationships and fulfill contractual obligations
  • Comply with legal and regulatory requirements
  • Improving our website and services
  • Internal Analysis and Business Planning

 

We will NOT use your information to:

  • Selling your personal data to third parties
  • Unsolicited marketing unrelated to our services
  • Any purpose that is incompatible with the purpose for which the information was collected

4. How We Share Your Information

Travent does not sell personal information. We may share information under the following limited circumstances:

4.1 With Service Partners

To provide our services, we may share contact information and event preferences with authorized organizers, hospitality providers, and travel providers. Such sharing is strictly limited to what is necessary to fulfill your service request and is governed by confidentiality obligations.

4.2 Information Generated by Travent (Travent-Sourced Leads)

Information that Travent independently develops, generates, or cultivates through its own marketing activities, pre-existing relationships, and referral networks (“Travent-Sourced Leads”) constitutes Travent’s proprietary information. This information may be used by Travent for its ongoing marketing activities and service provision, including the promotion of non-competing products and services.

4.3 International Data Transfers

Given our binational nature (Mexico–United States) and our provision of services at international events (including events in the United Kingdom and the European Union), we may transfer personal data across jurisdictions. Such transfers are carried out under the following safeguards:

  • EU Standard Contractual Clauses (SCCs) for data transfers to or from European Union countries
  • Equivalent mechanisms recognized under the UK GDPR for transfers to or from the United Kingdom
  • Compliance with Article 36 of the LFPDPPP for international transfers from Mexico
  • Equivalent contractual safeguards with all partners that receive personal data

4.4 Legal Requirements

We may disclose personal information if required to do so by law, a subpoena, a court order, or another government authority, or if we believe in good faith that such disclosure is necessary to protect our rights or comply with legal process.

4.5 Business Transfer

In the event of a merger, acquisition, or sale of assets, personal information may be transferred as part of such a transaction, subject to equivalent privacy protections.

5. Data Security

Travent implements commercially reasonable technical and organizational security measures to protect your personal information from unauthorized access, use, disclosure, alteration, or destruction. These measures include:

  • Access controls and authentication requirements for systems containing personal data
  • Encryption of data in transit and, where applicable, at rest
  • Confidentiality Obligations for All Employees and Contractors Who Handle Personal Data
  • Periodic review of data security practices
  • Timely notification in the event of security incidents affecting personal data

In the event of a security incident affecting your data, we will notify you in accordance with the timeframes and requirements established by applicable law.

6. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Notice, to comply with legal obligations, to resolve disputes, and to enforce our agreements. When the information is no longer needed, we securely delete it.

Upon the termination of a business relationship or upon your written request, we will cease the active use of your information in accordance with the applicable agreements and current legislation.

7. Cookies and Tracking Technologies

Our website may use cookies and similar tracking technologies to improve your browsing experience and analyze site usage. You can control your cookie settings through your browser preferences. Disabling certain cookies may affect the website's functionality.

We do not use tracking technologies to collect personal information beyond what is necessary for the analysis and functionality of the website.

8. Your Privacy Rights

8.1 ARCO Rights – LFPDPPP (Residents of Mexico)

Under the Federal Law on the Protection of Personal Data Held by Private Parties, you have the following rights:

  • Access: Find out what personal data we have about you, what we use it for, and the terms of use
  • Correction: Correcting Inaccurate or Incomplete Information
  • Deletion: Request the deletion of your data when you believe it is no longer necessary for the purpose that justified its collection
  • Right to Object: to object to the processing of your data for specific purposes

To exercise your ARCO rights, please submit your request in writing to info@travent.global. We will respond within a maximum of 20 business days, in accordance with the provisions of the LFPDPPP.

8.2 Rights Under the UK GDPR / Data Protection Act 2018 (UK Residents)

If you are in the United Kingdom, your personal data is processed in accordance with the UK GDPR and the Data Protection Act 2018. You have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete personal data
  • Erasure (“right to be forgotten”) under certain circumstances
  • Restriction of Processing in Certain Circumstances
  • Data Portability When Processing Is Based on Consent or a Contract
  • Objecting to Processing Based on Legitimate Interests
  • File a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk

We do not transfer personal data to countries outside the United Kingdom without ensuring that appropriate safeguards are in place in accordance with the UK GDPR.

8.3 Rights Under the EU GDPR (Residents of the European Union)

If you are located in the European Union, your personal data is processed in accordance with Regulation (EU) 2016/679 (GDPR). International transfers of your personal data are carried out under Standard Contractual Clauses approved by the European Commission. You have the right to:

  • Access, correction, deletion, restriction, and portability of your data
  • Objecting to Processing and Automated Decisions
  • Withdraw consent at any time, without affecting the lawfulness of the processing that took place prior to the withdrawal
  • File a complaint with the supervisory authority in your Member State

8.4 Under the CCPA (Residents of California, U.S.)

If you are a California resident, you have the right to:

  • Learn what personal information we collect, use, disclose, or sell
  • Request the deletion of your personal information (subject to certain exceptions)
  • Opt out of the sale of your personal information (Travent does not sell personal information)
  • Not to be discriminated against for exercising one's privacy rights

9. Marketing Communications

We will only send marketing and promotional communications to individuals who have given their explicit consent or with whom we have an established business relationship that permits such communications in accordance with applicable law.

You can unsubscribe from marketing communications at any time:

  • By clicking the unsubscribe link in any marketing email
  • By contacting us directly at the address listed below

We respect the marketing consent status designated for each contact and do not send unsolicited marketing communications to individuals who have opted out or who have not given their consent.
